Did you know that you can
create a flow that performs one or more tasks on
a specific schedule. You can, for example, create a flow that
sends a report by email at the same
time, every day. This schedule can typically
be once a day, an hour, or a minute on a date that you specify or after a few days, hours, or minutes
that you specify. Let's look at how you can create a flow in Power Automate. First launch Power Automate and sign in using your
organizational account. To start constructing
your process flow select "Create" from the navigation
menu on the left. To create a scheduled
flow from the start, from blank options, select
"Scheduled cloud flow". In the builder scheduled
cloud flow window, you can specify the flows name, when the flow should run, and how often it should repeat. Start by selecting the
"Date" if applicable, then enter frequency,
for example, every two weeks or monthly. Now, specify what days
your flow should run. The text at the bottom of the dialog box explains your configuration
in plain language. Once you are satisfied with
your inputs, select "Create". Now that your flow is created, you can specify the
advanced options. In the flow builder
window click the "recurrence card" to expand it. You will see the interval
settings that you previously configured
for the flow to run. Next, select "Edit", and then click "Show
Advanced Options". The advanced options that
are displayed can vary depending on the value of the interval and
frequency fields. Here, you can
specify a time zone to reflect the required
local time zone. You can specify the day or days of the week when
the flow should run, and the time or times of day
when the flow should run. Now that you have created your flow and set your
advanced options, you can use the compose
action to save yourself from entering data multiple times when you are designing a flow, you can use the compose
action, for example, to enter an array of digits several times while
you design your flow. Let's have a look
at how to do this, in the flow builder
window click "New step" to add a step
to your process flow. A new operation card
will be added to the flow from which you
can choose an operation, in the search field, type "compose" and then select the compose or data
operation action. Now, enter the array
that you want to reference later into
the inputs field. It is best practice to rename the composed car to make it
easy to reference later, simply click on
the "text compose" on the title bar and
provide a unique name. A step can also be deleted
as you create the flow. For example, the composed
step can be deleted by clicking on the "three
dots" and choosing "delete". Bear in mind that
if you have already completed the flow and
you delete a step, this may have an impact on
steps further down the flow. This example allows you to
create expenses reminders. So you could add a step
that sends an email reminding specific people
to submit expense claims. To do this, click "New step" and then type "send email"
into the search field. Select the "send an
email operation" in the send an email card
at the email addresses, the subject line, and the message text you
want to include. All three pieces
of information are required for you to
be able to proceed. To save your flow click "Save"
in the top right corner. Return to the flow details
page by clicking the "back arrow" in the top left
corner, that's it. The specified email
recipients will get a reminder email now on
the dates you specified, if you wish, you can also test the flow from the "Option"
in the top right. Good job. You have created
and run your flow.
